Microsoft Exchange™ Server is currently the dominant product in the
market for email and collaboration software. Typically very large corporations use it to increase productivity and simplify communications. Small businesses on the other hand, have always stood to gain from its use, but have found the costs associated with setting up and maintaining it disproportionately expensive.
Shared MS Exchange from Hostway enables organisations both large and small to reap the benefits of using Exchange accounts in conjunction with Microsoft Outlook, without having to invest in the costly infrastructure themselves.
What do Hostway's Exchange™ Email plans include?
We have integrated the very latest features and functionality into our Exchange™ Email plans , and will continue to develop them in accordance with the advances Microsoft make - including seemless integration with the latest version of MS Sharepoint™ Services.
Shared Exchange accounts are available to all shared hosting customers, as an alternative to standard POP3/SMTP accounts, and also as standalone email accounts. All Exchange accounts feature the following:-
Free download of Microsoft Outlook 2003
Microsoft Office Outlook Web Access (OWA)
Microsoft Office Outlook Mobile Access (OMA)
Shared address book and directory look up
Shared Calendar for group scheduling
Shared Tasks Access
Public Folders/File Sharing
Aggregated disk space between Exchange accounts
Integrated Exchange Account Managment via SiteControl
All standard Email features, domain forwarding, domain aliases, etc.
Compatible with a range of ActiveSync mobile devices
Why should I use MS Exchange™?
You may be wondering why it would be worth moving to Exchange™ from your usual POP3/SMTP accounts. Essentially, the answer lies in what you are trying to achieve with your email service, and whether you wish to take advantage of the added features that Exchange™ - in combination with MS Outlook™ and Sharepoint™ Services - make possible. Exchange™ is becoming a very popular option for SMEs who don’t want to pay to make the costly IT investments in aquiring and maintaining their own Exchange Server, but really want to use Outlook as their email client.
Mobility
More and more businesses are taking advantage of mobile communications in order to compete. Exchange allows you to access your email, calendar, contacts and shared files via Outlook Mobile Access (OMA) seemlessly. This can be achieved via your mobile phone, PDA or other mobile device. Alternatively you can use Outlook Web Access (OWA) to get to your important emails and files whether you’re in the office, or on the road. You need never lose a customer again just because you couldn't get to your email!
Productivity
Thanks to time zone changes and constantly moving deadlines, it can be hard to find a time when everyone is free for a meeting. Instead of going back and forth trying to find something that works, open the shared calendar feature in Outlook™ and set a date. If someone can't make it, they can put forward another date and time, and that way everyone knows about it.
Convenience & Peace Of Mind
We've all been there...you're on your way to a meeting and you need some important client emails but your laptop is at home. No need to stress - everything is safely stored centrally online. Just log on via the web and download the forms you need from the shared folder. Panic over.
How does it work?
Exchange™ has many unique features, but the the main points to bear in mind are as follows:-
Exchange™ email addresses appear in the same format and behave in exactly the same way as POP3/SMTP addresses. But there is greater functionality for doing other things, such as sending larger numbers of emails to distribution lists, letting people use other people's accounts for sending and receiving email in the office, and web-based administration via Hostway SiteControl makes setting up and managing Exchange™ really simple.
Exchange™ email is stored centrally by Hostway on one or multiple Exchange servers. This means when you view your emails via whichever version of Outlook™ you are using, they are not "downloaded" locally to your PC, laptop or mobile device. They remain on the server. The idea is that you have access to the same emails whether you are connecting via Web, Mobile or your desktop version of Outlook™.
If you wish to clear diskspace so that you remain within your aggregated quota (see plan details) you can simply move email into a Personal Folder located locally on your desktop or laptop, or delete some of your messages of course. Note: Deleting an email on your desktop, mobile or Web version of Outlook will mean deleting it off the server, and therefore accross all devices.
Disk space between Exchange accounts is "aggregated" per domain. Each account/mailbox comes with 300 MB of disk space, so this means if you have 3 accounts, that’s 900 MB of disk space you can distribute any way you want between mailboxes. Customize each mailbox’s disk space to meet your team members’ needs.
Exchange accounts are not compatible with Standard Email. This means user switching to or from either mail system are restricted to one at any time - in other words, the two cannot co-exist.
Exchange on your PDA/mobile
To enable you to retrieve your Exchange email on your phone or compatible mobile device, we currently support 'ActiveSync'. You will need an 'ActiveSync' compatible device in order to retrieve your Exchange email using Hostway's Exchange email service.
What is 'ActiveSync'? - ActiveSync is a server-side technology that allows a portable device, such as a PDA, to download email
while updating the Exchange server with any contacts, notes or emails
you may have written on the PDA. It does not use "push" technology in the sense that it polls the Exchange server over
https (i.e. the device still has to find the server), and only does so at
specified intervals.
What is 'Push Technology'? - Push Technology involves having a persistent Internet connection on your
portable device. The email server then finds the device and sends or "pushes" the email to the device as soon as it arrives on the Exchange
server.
NOTE:
We regret that currently this is NOT supported on Hostway's Exchange platform.
Please see our ActiveSync Settings page for a list of compatible devices and instructions for how to set your ActiveSync device up.
